FieldProof User Manual: Snagging, Inspection Checklists and Handover Reports From Your Phone

What FieldProof Does

FieldProof is a mobile-first defect management tool for construction field teams. It replaces paper snag lists and WhatsApp threads with one workflow: walk the site, log every defect with a photo, assign it to a subcontractor with a deadline, and generate the report automatically when the round is done.

The app covers the full loop: inspection checklists for structured walkthroughs, defect capture with timestamped photos, task assignment and status tracking, offline operation for dead zones, and branded PDF reports for consultants and developers. Everything lives inside projects, so each building, floor or zone keeps its own history.

FieldProof runs in the browser as a PWA — no app-store install, no IT setup. A subcontractor opens a link and starts working, which is exactly what mixed crews on UAE sites need.

Signing In

FieldProof uses the same VerixHQ account as SparkProof — one registration covers both products. If you already have an account, sign in at verixhq.com and open verixhq.com/app/fieldproof. If not, register with your work email, confirm the verification email and you are in.

Team members and subcontractors get access through the project invite: share the link with them, they create or use their own account, and they land directly in the project they were invited to — with the permissions their role allows.

Creating Your First Project

Everything in FieldProof belongs to a project, so start by creating one. Give it a name the whole team will recognize — "Tower B, Levels 10–14" works better than "New Project" when you are three projects deep. Set the location so the report headers carry the site details, and add the team members and subcontractors who will work in it.

A practical pattern for UAE projects: one project per building or per handover zone, not one project per whole development. Reports, checklists and defect counts stay readable, and closing out one zone does not bury another zone's open items.

Running an Inspection Checklist

Checklists turn a site walk into a structured inspection. Open the checklist inside your project and work through it item by item — the checklist is organized into five sections, so you can hand different sections to different inspectors or walk them in sequence.

Every item gets one of three statuses. Tap OK when the item passes. Tap Issue when something is wrong — that opens defect capture on the spot, so the checklist item and the defect stay linked. Tap N/A when the item does not apply to this unit or area — N/A marks the item as not applicable and it counts toward completion, so a unit without a terrace does not leave terrace items open forever. The progress bar shows how far through the checklist you are at any moment.

Capturing Defects With Photos

A defect in FieldProof is a photo plus the facts around it. Take the photo inside the app — it gets an automatic timestamp and stays pinned to the defect instead of disappearing into a camera roll. Add a short comment describing what is wrong and where: "Chipped tile grout at shower wall, master bath" is enough for the fixer to find and close it.

Set the location within the project — floor, unit, room or zone — so the defect lands in the right place in the report. Captured defects appear immediately in the project list, visible to everyone on the team, and each one carries its full history: who reported it, when, and what happened to it afterwards.

Assigning and Tracking Fixes

A defect with no owner does not get fixed, so every defect in FieldProof can carry an assignee and a deadline. Assign it to the responsible subcontractor or team member, set the due date, and the defect appears in their task list. The status moves with the work — open, in progress, ready for verification, closed — and the whole team sees the same status in real time.

When a subcontractor marks a fix done, the ball returns to you: review the rectification photo they attached, and either close the defect or send it back with a comment. At any moment, the project view tells you how many items are open per trade and per zone — the number that matters before a consultant inspection or a handover date.

Working Offline on Site

Basements, cores and upper floors on UAE sites routinely have no signal — FieldProof is built for that. Checklists, defect capture, photos and comments all work without a connection; everything is stored locally on your phone as you go.

When connectivity returns — back at ground level, in the site office, on the drive home — the app syncs automatically. Nothing needs to be re-entered and nothing is lost: the defect you logged in the basement at 10:15 appears in the project with its original timestamp. The one habit worth building: open the project once while you still have coverage, so the latest project data is on the device before you walk into a dead zone.

Generating the Handover PDF Report

When an inspection round is complete — or when the consultant asks for the current status — generate the PDF from the project with Export PDF. The report is branded with your company details and compiles everything captured in the field: checklist results, open and closed defects with their photos and locations, assignees and statuses.

Download the file and send it the same day — by email to the consultant, by WhatsApp to the subcontractor group, or into the handover documentation package. Because the report is generated from live project data, regenerating it after a rectification round produces the updated state without any retyping. At handover, that chain of timestamped, photo-backed reports is your evidence that defects were found, assigned, fixed and verified.

Installing on Your Phone

FieldProof is a PWA, which means it installs from the browser without an app store. On Android, open verixhq.com in Chrome and tap "Add to Home Screen" in the browser menu. On iPhone, open it in Safari, tap the Share button and choose "Add to Home Screen".

The home-screen icon then opens FieldProof full-screen like a native app, with offline support intact. This is the recommended way to use it on site: one tap to open, camera one tap away, and no app-store approvals when a new subcontractor joins mid-project.
